Privacy Policy

Who we are

Vent Solve Limited, trading as VentSolve, is a ventilation and mould removal contractor registered in Ireland (company number 803471, VAT number 4540624QH). We have not appointed a data protection officer; write to info@ventsolve.ie with "Privacy" in the subject line for anything about your data.

What we collect and why

• Quote and survey enquiries (forms, email, phone, WhatsApp): your name, email address, phone number, Eircode or address, your message and any photos of the problem you send. We use them to answer you, to prepare a quote, to plan a survey or a job, and to keep a record of the work we did for you. Legal basis: steps before and under a contract with you.
• Shop orders: name, delivery and billing address, phone, email, the products ordered and payment status. We use them to deliver and invoice the order and to handle returns. Legal basis: the contract with you, and legal obligations for invoices and tax records.
• Job records and guarantees: address, work done, dates, photos before and after, invoices. Kept to honour the guarantee on our work and to meet tax and accounting rules. Legal basis: contract and legal obligation.
• Marketing: only if you tick the optional box on a form or tell us you want it, we may send occasional tips and offers by email or WhatsApp. You can stop this at any time by replying "stop" or emailing us. Legal basis: your consent.
• Website use: our site records technical data (IP address, pages visited, browser) in server logs for security and to keep the site working. Legal basis: our legitimate interest in running a secure site.
• Measurement and advertising cookies: only with your consent through the cookie banner (see Cookies below).

Who receives your data

We share data only with services we need to run the business, under contracts that bind them to protect it:

• our quoting and customer management software (GoHighLevel, United States),
• Google (Analytics, Ads and reCAPTCHA on the forms), Meta, OpenAI and TikTok for measurement and advertising, only after your cookie consent,
• our website hosting provider (KnownHost, server located in the United States),
• our email provider (Microsoft 365),
• the reviews widget provider that shows our Google reviews (Trustindex),
• our accountants, and, when a job needs it, a qualified electrician who works with us,
• public authorities when the law requires it.

Some of these providers are outside the European Economic Area. Transfers rely on the European Commission's standard contractual clauses or the EU-US Data Privacy Framework, and we only send what the service needs.

How long we keep data

• Enquiries that do not lead to a job: 24 months after our last contact.
• Quotes, job records, photos and invoices: 7 years after the job (tax law and our guarantee).
• Shop orders: 7 years (tax law).
• Marketing consent: until you withdraw it.
• Cookie consent choice: 12 months, then we ask again.

Cookies

Functional cookies keep the site working and are always on. Statistics and marketing cookies (Google Analytics, Google Ads, Meta, OpenAI, TikTok) are set only after you accept them in the cookie banner. You can change or withdraw your choice at any time with the "Manage consent" link at the bottom of every page.

Your rights

You can ask us to show you the data we hold about you, correct it, delete it, restrict or object to how we use it, or send it to you in a portable format. You can withdraw any consent at any time. Email info@ventsolve.ie; we answer within one month. Children

Our services and website are for adults. We do not knowingly collect data from anyone under 16.

Changes

We update this policy when our services or the law change and show the date of the current version at the top.
